Administrative Assistant

Location: Lubbock, TX
Schedule: Full-Time, Onsite
Compensation: $17-18 (DOE) + comprehensive benefits

Join a proven industrial team that values expertise, accountability, and results. In this front-office role, you’ll be the first point of contact for customers and vendors while keeping the back office running smoothly—owning phones, records, light accounting support, and job packet assembly for service and project work.

The Opportunity

You’ll keep the office organized, responsive, and efficient—supporting internal staff and external customers, maintaining accurate records, and assisting with invoice/data entry and project documentation so field and shop teams can deliver on time.

Key Responsibilities

Front Desk & Customer Support

  • Answer and route calls quickly and professionally; greet visitors and vendors.
  • Triage inquiries, schedule/coordinate next steps, and ensure timely follow-through.

Records, Documentation & Job Packets

  • Maintain organized, searchable digital/physical filing systems.
  • Assemble complete, accurate job packets for projects and service work; track status and close-out docs.

Accounting & Data Entry

  • Enter invoices and job data with high accuracy; assist with basic A/P and A/R tasks.
  • Update spreadsheets, logs, and reports for leadership review.

General Office Operations

  • Order supplies, manage mail/shipping, and support day-to-day needs for managers and field teams.
  • Pitch in on special projects that improve workflow and customer experience.

Qualifications

Required

  • 1+ year in an office, receptionist, or administrative support role.
  • Proficient in Microsoft Office (Word, Excel, Outlook); fast, accurate typing and data entry.
  • Professional communication skills, polished phone etiquette, and strong organization.
  • Ability to multitask, set priorities, and adapt to shifting deadlines.

Preferred

  • Experience supporting basic accounting tasks (invoice entry, filing, and reconciliations support).
  • Familiarity with job packets/work orders in a service, construction, manufacturing, or industrial setting.
